Provides administrative support to the Director and the Wellness department. Coordinates day-to-day functions as it pertains to residents.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Performs a variety of administrative, clerical and reception duties, including answering phones, distribution of mail and preparation of data and correspondence. Includes Senior Center newsletter and Park News.
Provides customer service to residents including redirecting resident concerns and updating resident profile sheets. Handles daily check-ins, resident moves and apartment closures.
Responsible for scheduling and reservations of Wesley Park rooms, meetings, senior activities and building maintenance (carpet cleaning, window washing etc.) Completes facility request sheets for all Wesley Park events.
Purchases and sends out door prizes, birthday cards and sympathy cards, thank you cards and invitations. Posts and records memorials and hospital transfers.
Facilitates orientation for new residents, including conducting tours, processing and routing paperwork and posting welcome materials on bulletin boards.
Responsible for creating and posting all informational flyers.
Sends out quarterly DPOHC letters. Sends copies to Pastoral Care Department and updates Achieve and Excel listings when DPOHC is received.
Assists in responding to Code 1 alerts and morning call lights during regular shift hours.
Represents administration at Resident Council, takes meeting notes and follows up with appropriate staff on open issues.
Presents information regarding VMP facilities to visitors in a manner that supports the sales staff and assists the Marketing Department in achieving its overall goals. Includes conducting facility tours.
Participates in planning and implementation of all open house activities. Includes weekend events. Represents employer during community projects, social and business gatherings.
Coordinates volunteer’s help with various marketing fulfillment duties, including direct mailing, packages, letters, catalogs and other sales literature.
Composes, prepares and proofreads routine correspondence, newsletters, direct mailings and advertising.
Organizes and maintains filing systems.
Produces regularly scheduled reports from marketing database(s).
Maintains Wesley Park and Senior Center database, individual files and Achieve.
Tracks census information on a daily basis via the intranet and Pathlinks. Researches any discrepancies.
Maintains corporate identity to internal and external customers.
Serves as backup support to the Director of Wesley Park and Senior Center Director in their absence.
This job has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE
Associate's degree (AA) or equivalent from a two-year college or technical school, or six months to one year related experience and/or training or equivalent combination of education and experience.
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
CERTIFICATES, LICENSES, REGISTRATIONS
Certifications in Microsoft Excel and Microsoft Word preferred.
Proficient in Microsoft Word, Excel, PowerPoint, Access and Outlook.
OTHER SKILLS AND ABILITIES
This position requires strong attention to detail and accuracy, including effective organizational skills. Must possess good communication and listening skills and the ability to work effectively with a senior population.
